Job Description:

We are seeking temporary administrative staff to assist the program director to run the administration for the coursework postgraduate studies.  This position offers an opportunity to gain valuable experience in a dynamic work environment.

 

Programme Operations: Admission

• Monitor the overall progress of admission cycle

• Prepare applicant list and check submitted documents are in order

• Prepare matriculation and distribution of matric cards for incoming students

 

Programme Operations: Academic Services

• Prepare timetables of classes and examinations

• Prepare attendance lists of the modules after add/drop period for records purpose

• Setup teaching evaluations for each mini term

• Book venues for classes and examinations

• Setup modules before each trimester in Oracle

• Setup modules in NTULearn

• Liaise with students for module registrations prior each mini term during add/drop period

• Manage Add/Drop period for every mini term

 

Programme Operations: Examinations

• Prepare and print attendance lists for the modules in each mini-term

• Confirm/Book exam venues and schedule practicum presentations

• Prepare forms for invigilator report (for absentees) and chief invigilator (for collection of examination scripts)

• Prepare spreadsheets with students’ details for Board of Examinations

• Check mark list printouts after the Board of Examinations concluded

 

Programme Operations: Outreach/Marketing Activities

• Organise Outreach Events for prospective students, current students and alumni

• Raise Purchase Requests for catering services via Ariba system

• Prepare ITQ for outreach/marketing related activities

• Prepare workshop/seminar announcements for posting in CCEB

• Book venues for information sessions and seminars

 

Other Administrative Duties

• Manage the onboard processes for Part-time lecturers

• Manage role-based email account

• Assist in the preparation and consolidation of data for reporting purposes where required

• Assist in any ad hoc matters as delegated as required

We are seeking a highly motivated and experienced individual to fill the role of Senior Assistant Manager for Safety and Health.

 

Job Description

The successful candidate will be responsible for developing and implementing comprehensive safety programs, ensuring regulatory compliance, and fostering a positive safety culture within our organization. Key responsibilities include safety protocol implementation, incident response management, and continuous improvement initiatives.

 

Responsibilities

  • Formulate, implement and evaluate new and existing health and safety policies, and services for fostering a strong safety and health awareness and culture within NTU

  • Lead and manage in developing and implementing safety and health management systems compliance to NTU Office Health and Safety

  • Conduct safety training, audits, licensing, fire drills, lab inspections, risk assessments and evaluation, developing SOPs for labs and general lab and office safety etc

  • Organize and promote safety campaigns within the school

  • Provide advice and guidance to school managements and all lab and offices’ users (staffs, researchers, undergraduates, graduate students) on safety and health issues and to perform preventive and corrective measures whenever necessary

  • Liaise with various government bodies and authorities (e.g. NEA, SCDF and SPF) on health and safety related matters, which include auditing and licensing, to ensure compliance to the safety rules and regulations.

  • Conduct investigations for accidents/incidents that take place in offices and laboratories and implement corrective measures to prevent or minimize recurrence of incidents/accidents.

  • Assume the role of safety representative/coordinator on behalf of the School to liaise with NTU stakeholders (for e.g. Office of Health and Safety) for coordination, sharing and dissemination of safety related information to end-users within the school and NTU

  • Liaise with various stakeholders for safety related issues

  • Ensure contract management of vendors (for both external and in-house contracts) on facilities related works for teaching labs, research labs and offices.

  • Administer card access to offices and laboratories for authorised lab access and security to ensure compliance with NTU rules and regulations.

  • Other ad-hoc duties as assigned by the School’s management

     

Requirements

  • Diploma in Occupational Health and Safety (or related field), Bachelor's degree preferred.

  • Professional certifications such as Fire Safety Management (FSM) will be beneficial but not mandatory,

  • Certifications in first aid, CPR and other relevant emergency response training are beneficial but not mandatory.

  • Four to six years of proven experience in safety management, with a track record of increasing responsibilities.

  • In-depth knowledge of safety regulations, industry best practices, and emergency response protocols.

  • Excellent communication and analytical skills, with the ability to convey safety information effectively.

  • Commitment to continuous learning and professional development.

  • At least five years of working experience, with a minimum of three years of experience in academic settings. Experience in science-related fields will be advantageous.

Manage all aspects of graduate studies within the School

  • Update student database in a timely manner.

  • Assist department lead and School management with required duties when requested.

  • Manage department budget and monitor expenses to ensure compliance with financial policies

 

Provide end-to-end programme administrative support to Chemistry students including but not limited to:

 

Admissions

  • Prepare interview logistics and schedule interviews for shortlisted applicants. 

  • Compile student and supervisor preferences and assist the Associate Chair to assign students to supervisors according to stipulated requirements.

  • Maintain scholarship files and track application status to ensure updated information is readily available.

 

Examination

  • Assist course instructors to prepare mark list for board of examination.

  • Process student appeal requests.

 

Qualifying examination (QE), thesis submission and oral examination (OE)

  • Coordinate on processes for QE, OE and thesis submission.

  • Coordinate with students and panel members to schedule QE and OE

  • Consolidate forms, oral reports, assessment reports and submit to Central Admin/ Graduate College

  • Ensure timely scholarships renewals.

 

Leave Application (LOA, Conference/training leave)

 

STP (Exchange/ Non- graduating students)

  • Work with OGEM and One Stop to process the documents.

 

Others

  • Perform postgraduate processes in accordance to the policies and guidelines of the University

  • Provide support in process alignments within the unit.

  • Tracking Graduate Assistant Scheme (GAP) hours and submit the report to Office of Admission on annual basis.

  • Assist TA coordinator in assignment of Teaching Assistants’ duties.

  • Support the coordination of PG events such as CoS Orientation and 3MT.

  • Perform any other ad hoc duties or projects assigned

 

Key competencies and qualification requirements:

  • A recognized bachelor’s degree in any discipline.

  • 3-5 years prior experience in educational program management is preferred.

The School of Chemistry, Chemical Engineering and Biotechnology (CCEB) is seeking to hire a senior technical executive to work closely with academic, technical and research staff and students to support the teaching labs and central research labs operation and safety. The incumbent will provide support to teaching lab by preparing lab consumables, equipment and training. The incumbent will assist academic, teaching assistants, research staff and students on experimental procedure, scientific equipment operation and maintenance.

 

Responsibilities

  • Assist in design/modify and set-up undergraduate teaching experiments including prepare, conduct and supervise laboratory lessons for chemical and biological related experiments.

  • Support the faculty, research staff and students in carrying out their research activities including operating, maintaining & training of common lab equipment.

  • Guide new and inexperienced users in operation of laboratory equipment. 

  • Support the manager to perform diagnostic tests and in-house repair process in the event of equipment failure, engage vendor for periodic calibration and preventive maintenance.

  • Ensure adequate lab consumables and manage purchasing of materials and inventory control.

  • Liaise with suppliers on equipment setup, repair and maintenance.

  • Conduct and maintain good laboratory housekeeping and safe laboratory practices.  

  • Carry out strategic budget proposal, tracking expenses associated with lab equipment and consumables.

  • Support students’ technical projects and lab tours.

  • Perform any other duties as assigned by the reporting officer and school management.

 

Requirements

  • Diploma/degree in science / engineering or equivalent in any relevant field with at least 2 years’ working experience.

  • Strong problem solving and troubleshooting skills.

  • Experience in handling, operating and maintaining scientific & laboratory equipment such as Microscopy imaging system, HPLC, Spectrometers, Tensile testing meter, Density meters, Autoclaves, etc.

  • Basic knowledge on cell, tissue culture / protein analysis / fermentation.

  • Effective record keeping of lab chemicals, consumables, equipment inventories and maintenance records.

  • Laboratory support and management, with experience in writing standard operating procedures and risk assessments.
